A 50% deposit is due when you submit your online application if submitted on or before March 2, 2025.
On or after March 3, 2025, 100% is due with your application.

Full payment is due on March 3, 2025.

Applications accepted until June 13, 2025.

Cancellation of Event:
If an emergency arises prior to the opening date of the event, or during the event, which prevents its scheduled opening and/or operation, such as strikes, destruction or damage of the exhibit hall, acts of war, terrorism, or a declaration of a national emergency by the President, it is expressly understood and agreed that the ADA may retain as much of the full payment for exhibit space as necessary to cover expenses incurred up to the time of such emergency. If our event is cancelled due to the coronavirus in 2025, refunds or credits will be available less the 10% non-refundable administrative fee. Cancellation/Reduction Policy: In the event, State or facility regulations change in the locale where the meeting is held, exhibitors/attendees will be expected to abide by the existing/changed regulations and those changes are not in themselves an acceptable reason for cancelling or receiving a refund. Cancellations/Reductions must be provided in writing to ADA Exhibit Management and must be by mutual consent of the applicant and ADA. Reductions in booth space are considered the same as cancellations. There is a 10% non-refundable administrative fee assessed of the full booth fee plus:

  • 50% of the full booth fee for cancellations or reductions received prior to December 31, 2024; after December 31, 2024, the exhibitor is responsible for 100% of the full booth fee, which includes the 10% non-refundable administrative fee.

Included with Booth Purchase

  • One corporate delegate badge per each 10' x 10' booth purchased (allows full access to sessions, but cannot claim CE credit; not to exceed 10 per company).
  • An allotment of complimentary ‘Exhibit Hall’ booth personnel badges (allows access into the Exhibit Hall only).
  • Attendee “Preview” lists will be emailed regularly in May and June leading up to the meeting which will include attendee's name, credentials, affiliation, city, state, and country to help you better staff your booth with the appropriate literature and/or multi-lingual staff. These lists do not include contact information and is expressly for planning purposes only.
  • Exhibitors also receive a post-show attendee report which will include attendee's name, credentials, affiliation, city, state, and country.
  • Exhibitor listing will appear in the Mobile App*. Product descriptions will be included in the mobile app.
  • Standard flameproof booth equipment: pipe and drape back wall (8' high) and draped side rails (3' high).
  • 7" x 44" identification sign with company name and booth number (for linear booths only).
    • Booths 300 sq. ft. or less will receive an identification sign.
    • Booths larger than 300 sq. ft. may receive an identification sign upon request.
  • Aisle carpeting provided and cleaned daily. Booth carpet is required for all exhibits and may be ordered from the vendor.
  • Priority points toward selection of exhibit space for the 85th Scientific Sessions.
  • Access to the Exhibitor Resource Center.
  • Ability to purchase pre- and post-show attendee list*.
  • Security for the perimeter of the exhibit area will be furnished by ADA during the show.
